This Privacy Policy explains how Neapyre S.A.S. collects, uses, stores, shares, and protects personal information when customers use the Neapyre mobile app (Neapyre – Customer Portal).

Neapyre is a private customer portal available only to authorized Neapyre customers. The app allows customers to securely access their projects, tasks, requests, comments, invoices, reports, notifications, profile information, and related account activity from a mobile device.

By using the Neapyre app, you agree to the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, you should not use the app.

2. Who Can Use the App

The Neapyre app is not a public registration app. Access is limited to existing and authorized Neapyre customers. Users cannot create a public account inside the app unless Neapyre has already created or authorized access for that customer.

If you are not an authorized customer or representative of an authorized customer, you may not use the app.

3. Information We Collect

We collect only the information needed to provide, secure, maintain, and improve the Neapyre customer portal.

3.1 Account and Profile Information

We may collect and process information such as:

  • Email address
  • Phone number
  • WhatsApp number
  • WhatsApp profile name, when available or provided
  • Customer or company name
  • Profile photo or avatar, if uploaded
  • Account preferences
  • Notification preferences
  • Customer account status

3.2 Authentication and Security Information

To help secure access to the app, we may collect and process:

  • WhatsApp OTP verification information
  • Login attempts
  • Session tokens
  • Device session information
  • Device type and operating system
  • IP address
  • Security logs
  • Account access records

Authentication sessions may be stored securely on your device so you can remain logged in unless you log out, your session expires, or access is revoked.

3.3 Project and Customer Portal Data

The app displays and processes information related to your customer account, including:

  • Projects
  • Project details
  • Tasks
  • Task status, priority, category, due dates, participants, and activity
  • Task comments, replies, and likes
  • To-dos
  • Customer requests created from the app
  • Events
  • Files or file placeholders connected to projects or tasks
  • Invoices
  • Invoice status, project references, payment actions, and secure document links
  • Reports, including completion rate, overdue tasks, invoices, to-dos, and completed tasks by project
  • Recent activity and realtime updates

3.4 Communications

We may collect and process communications related to your account, including:

  • Messages you send to Neapyre
  • Messages sent by Neapyre to you
  • WhatsApp conversations related to authentication, support, project updates, invoices, or customer service
  • Support requests
  • Comments and replies created inside the app

3.5 Notifications and Device Information

If you enable notifications, we may collect and process:

  • Push notification token
  • Device platform
  • Notification preferences
  • Notification delivery status
  • Unread notification status
  • Records used to open related projects, tasks, invoices, requests, or other app sections

You can manage notification permissions through your device settings and, where available, through the notification preferences inside the app.

3.6 Usage, Diagnostic, and Technical Information

We may collect limited technical information to operate, secure, troubleshoot, and improve the app, including:

  • App version
  • Device model
  • Operating system version
  • General app activity
  • Error logs
  • Crash information
  • Performance information

  • Realtime connection events

3.7 Payment and Invoice Information

The app may display invoice information connected to your customer account, such as invoice number, amount, status, project reference, due date, payment action, and secure invoice document links.

Unless clearly stated otherwise at the time of payment, Neapyre does not collect or store full credit card numbers, debit card numbers, banking credentials, or sensitive payment authentication data inside the mobile app. Payment processing, when available, may be handled by third-party payment providers subject to their own privacy and security practices.

4. How We Use Information

We use collected information for the following purposes:

  • To provide access to the Neapyre customer portal
  • To authenticate customers through WhatsApp OTP login
  • To maintain secure customer sessions
  • To show your projects, tasks, requests, comments, invoices, reports, notifications, and activity
  • To allow you to create project requests
  • To allow you to comment, reply, like comments, and interact with task information
  • To send service notifications, project updates, invoice updates, task updates, and account-related messages
  • To support realtime updates while the app is open
  • To manage customer support and communication
  • To protect the app, our systems, our customers, and our business
  • To prevent unauthorized access, misuse, fraud, or security incidents
  • To comply with legal, accounting, tax, contractual, and regulatory obligations
  • To improve app performance, reliability, usability, and customer experience

5. Legal Bases for Processing

Where applicable law requires a legal basis for processing personal information, we rely on one or more of the following:

  • Contractual necessity: to provide the services requested by the customer.
  • Legitimate interests: to secure, operate, maintain, and improve the app and customer portal.
  • Consent: where you choose to enable optional features such as push notifications, avatar uploads, or certain communications.

6. App Permissions

The Neapyre app may request access to certain device features only when needed for app functionality.

  • Notifications: used to send project updates, task updates, invoice updates, request updates, account alerts, and other service-related notifications.
  • Photos or Files: used only when you choose to upload an avatar or attach/select a file through available app features.
  • Device Storage or Secure Storage: used to store authentication session information securely on your device.

The app does not request access to your contacts, precise location, microphone, or camera unless a future feature clearly requires it and you grant permission.

7. Push Notifications

If you enable push notifications, the app registers a push notification token for your device. This token allows Neapyre to send app notifications related to your customer account, such as task updates, project activity, invoices, requests, comments, reports, and other service-related events.

You can disable push notifications at any time through your device settings. You may also manage available notification preferences inside the app.

8. Realtime Updates

The app may subscribe to realtime channels connected to your customer account while the app is open. This allows the app to show live updates for projects, tasks, comments, requests, notifications, invoices, and activity.

Realtime access is limited to authorized channels associated with your authenticated customer account.

9. Admin Review and Impersonation Flow

The app may support authorized admin or customer review links through a hidden impersonation or review flow. This feature is used only for authorized review, support, demonstration, or customer assistance purposes.

When this mode is active, the app displays a visible review banner and may apply read-only handling where appropriate. Access through this flow may be logged for security, audit, and compliance purposes.

10. How We Share Information

We do not sell your personal information.

We do not use your personal information for third-party advertising or cross-app tracking.

We may share information only when necessary for the purposes described in this Privacy Policy, including with:

  • Authorized Neapyre staff and administrators: to provide services, customer support, project management, billing, and account assistance.
  • Service providers: to host the app backend, store data, send notifications, process authentication, provide realtime updates, process payments, provide analytics, monitor errors, and maintain security.
  • Communication providers: to send WhatsApp OTP codes, customer service messages, and service-related communications.
  • Payment providers: if you use a payment action connected to an invoice.
  • Legal or regulatory authorities: when required by law, court order, legal process, or to protect our rights, customers, systems, or business.
  • Business transfer parties: if Neapyre is involved in a merger, acquisition, restructuring, sale of assets, or similar business transaction.

Service providers are expected to process information only as needed to provide services to Neapyre and to protect the information they process.

11. Third-Party Services

The app and related backend systems may use third-party services to support authentication, notifications, realtime updates, hosting, storage, communications, diagnostics, payments, and security.

These services may process limited information necessary to provide their functionality, such as phone numbers for OTP delivery, push tokens for notifications, device or diagnostic information for app stability, payment information for payment processing, or connection data for realtime updates.

Third-party services may have their own privacy practices. We encourage you to review their privacy policies when interacting with their services.

12. No Sale of Personal Information

Neapyre does not sell your personal information.

Neapyre does not rent your personal information to third parties.

Neapyre does not share your personal information with advertising networks for behavioral advertising or cross-app tracking.

13. Tracking and Advertising

The Neapyre app is designed as a private customer portal. It is not designed to show third-party ads or track users across other companies’ apps or websites for advertising purposes.

If this changes in the future, we will update this Privacy Policy, update our app privacy disclosures where required, and request consent where applicable law or platform rules require it.

14. Data Linked to You

Information processed by the app may be linked to your customer account because the app must identify you to show your projects, tasks, requests, invoices, comments, notifications, reports, and profile information.

Information linked to you may include account information, contact information, customer portal content, invoice information, communication content, notification information, device session information, and usage or diagnostic information.

15. Data Not Linked to You

Some diagnostic, performance, or aggregated information may be processed in a way that does not directly identify you. We may use aggregated or de-identified information to understand app performance, troubleshoot issues, and improve our services.

16. Data Retention

We retain personal information for as long as necessary to provide the app and related customer services, maintain customer accounts, comply with legal obligations, resolve disputes, enforce agreements, protect security, and support legitimate business purposes.

Project, task, invoice, request, comment, report, and activity information may be retained for the duration of the customer relationship and for a reasonable period afterward as required for business, legal, accounting, tax, audit, security, or contractual purposes.

Some information may remain in backups or logs for a limited period before being deleted or overwritten according to our normal retention practices.

17. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, loss, misuse, alteration, or disclosure.

These safeguards may include secure authentication, encrypted connections, protected sessions, access controls, secure storage practices, monitoring, and limited access to customer information based on role and business need.

After receiving a deletion request, we may verify your identity and your authority to make the request. If approved, we will delete or anonymize personal information where required and where technically and legally possible.

Please note that some information may need to be retained when required for legal, accounting, tax, security, contractual, dispute resolution, or legitimate business purposes. For example, invoice records, payment records, project records, support history, audit logs, or records needed to provide services to the customer may be retained where necessary.

If your account access is deleted, you may lose access to the Neapyre app and customer portal.

20. Customer Company Data

If you use the app as part of a customer company, organization, or business relationship with Neapyre, information in the app may belong to or be controlled by that customer organization.

Your customer organization may have access to project information, task information, requests, invoices, reports, comments, activity, and user information connected to its account.

If you request deletion or correction of information connected to a customer organization, we may need to coordinate with the authorized customer account owner or administrator.

21. Children’s Privacy

The Neapyre app is intended for business and customer portal use by authorized customers. It is not directed to children and is not intended for use by children under the age of 13.

We do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take reasonable steps to delete it.

22. International Data Processing

Your information may be processed and stored in countries other than the country where you live. These countries may have data protection laws that differ from those in your location.

When we transfer or process information internationally, we take reasonable steps designed to protect personal information in accordance with this Privacy Policy and applicable law.
